Overview

This video and documentation will demonstrate how an individual can set up message filters (entitled "Inbox Rules") to handle incoming messages and direct them to another folder, delete them, forward them, set a category, or perform several other actions.

Instructions

Please keep in mind that this filters will only act on new messages that arrive in your account.

Marking a Message with a Category

  1. Log into UGAMail
  2. Click on the gear in the upper-right corner
  3. Select Options
  4. On the left side, click on Inbox Rules.
  5. A new window will appear. Under the pull-down menu When the message arrives and:, choose It was received from . . . This will open the address book.
  6. In the address book, find the name of the individual in the Global Address List. Alternatively, type in their email address into the To: field at the bottom of this window.
  7. Once you are done adding addresses, click "OK"
  8. Next, select under Do the following, choose Mark the Message with a category
  9. Select a category for this message. If you have not yet set up categories, please see Using Categories in UGAMail
  10. Click on Save
  11. Remember that this process will delete any filter you have set up and disabled in Outlook.

Moving a Message to a Folder from a Specific Address

  1. First, follow steps 1-4
  2. A new window will appear. Under the pull-down menu When the message arrives and:, choose one of the following:
    • For list-servs: Choose It was sent to. . .. In the To field in the address book window that appears, enter the email address of the list-serv.
    • For specific email addresses: select "It was received from. . . and enter their email address in the To field of the address book window that appears.
  3. Click OK
  4. Next, under "Do the Following," select "Move the message to the folder. . ." which will bring up your folder list.
    • Select a folder to move the message to. You can select a pre-existing folder, or make a new one by clicking "New Folder. . ." (you may have to highlight your name first).
    • Press Ok, then Save
  5. Remember that this process will delete any filter you have set up and disabled in Outlook.
