Who is required to use ArchPass to access Office 365 programs?

All UGA students, faculty and staff are required to use ArchPass to access Office 365 programs when off-campus. If you have graduated or left UGA and still have access to your UGAMail and other Office 365 programs, you will also be required to use ArchPass to log in.

Retirees, including emeritus faculty, do not need ArchPass to access UGAMail or other Office 365 programs. Departmental accounts also do not require ArchPass for access.

What Office 365 programs require ArchPass?

The following programs require ArchPass for logging in off-campus:

  • UGAMail
  • OneDrive for Business
  • SharePoint Online

When am I required to log in with ArchPass?

You will be required to use ArchPass to log in to your UGAMail, OneDrive and SharePoint Online when you are off-campus.

Your login information will be saved on your device or browser for 14 days. After 14 days, or if you switch to a different device or web browser, you may be prompted to login with ArchPass again when off-campus.

How do I log into Office 365 programs with ArchPass?

To log in to your UGAMail, OneDrive or Sharepoint Online with ArchPass:

1) Enter your MyID with @uga.edu (MyID@uga.edu).

2) Enter your MyID password. 

2) Verify your ID with a phone or tablet enrolled in Duo. You can verify your ID with a push notification to a smartphone, a passcode generated through the Duo Mobile App; an SMS text notification to your cell phone; or a phone call to your cell phone or landline phone.

Your login information will be saved on your device or browser for 14 days. After 14 days, or if you switch to a different device or web browser, you may be prompted to login with ArchPass again when off-campus.

Do I need to upgrade my email client so I can access UGAMail with ArchPass?

The following email clients, mobile apps and web browsers are supported:

Email clients

  • Outlook 2016 for Windows
  • Outlook 2016 for Mac

Here's how to find out which version of Outlook you have installed.

Mobile Apps

  • Outlook for iOS (latest version)
  • Outlook for Android (latest version)
  • iPhone or iPad Mail app on iOS 11 or above (latest version)
  • UGAMail portal in UGA Mobile App
  • Safari app (latest version)
  • Google Android browser (latest version)

Web browsers

  • Microsoft Internet Explorer (Latest version)
  • Microsoft Edge (latest version)
  • Google Chrome for Mac, Windows and Linux (latest version)
  • Opera (latest version)
  • Mozilla Firefox for Mac, Windows and Linux (latest version)
  • Safari for Mac (latest version)

If you do not have one of the email clients, mobile apps or browsers listed above, you will need to upgrade.

How do I install a new email client that is supported?

If you need to install upgraded software on a UGA-owned device, please contact your departmental IT professional.

If you need an upgraded email client or mobile app for a personal device, the latest version of Outlook is available for free to UGA students, faculty and staff for laptops and mobile devices. You can find more information on downloading free Office software here.

I forward my UGAMail to a third-party address, like a Gmail account. Will I need to use ArchPass to log in?

If you are forwarding email, you will not need ArchPass to log in to your third-party address. Any emails from your UGAMail account will continue to forward to your third-party address. 

I have a sponsored MyID account, and access to UGAMail. Do I need to use ArchPass to access my UGAMail and OneDrive for Business while off-campus?

If you have a sponsored MyID account and a UGAMail account, but also are at UGA as a student or employee, you may be required to use ArchPass to access your UGAMail and OneDrive for Business while off-campus. 

If you only have a sponsored MyID account and UGAMail account, which requires renewal every year, you will not required to use ArchPass to access your UGAMail and OneDrive for Business while off-campus. 

I am not being prompted for my Duo authentication after I enter my password. Why is this?

There are a few reasons you may not see the Duo authentication screen after you enter your MyID and password.

  • You are a retiree, have a sponsored MyID or you are using a departmental account. You are not required to use Duo.
  • You are on-campus. You do not have to use Duo to log in on-campus.
  • Your browser or device has saved your login information. Your login information will be saved on your device or browser for 14 days. After 14 days, or if you switch to a different device or web browser, you may be prompted to login with ArchPass again when off-campus.
  • You are using a non-standard email client or mobile app to access your email or OneDrive. Please use one of the recommended email clients or mobile apps, or access your email in your web browser. Non-standard email clients and apps may not continue to work in the long-term. 

I want to download the free Office 365 software available to employees and students on my personal device. Do I need to use ArchPass to access it?

You will need to use ArchPass to log in to your UGAMail to download the software, if you are off-campus. You may also be prompted to log in with ArchPass when using Office 365 products off-campus, such as Word, Powerpoint and Excel. 

Why is ArchPass required to access UGAMail and other Office 365 programs while off-campus?

Successful phishing attempts compromise hundreds of UGAMail accounts every semester. ArchPass two-step login adds an extra layer of security to your UGAMail, OneDrive for Business and Sharepoint accounts, which makes it harder for cyber criminals and email scammers to steal your credentials and access your accounts without your knowledge. 

I'm a new incoming student. Am I required to use ArchPass to access UGAMail off-campus?

Yes. Once you receive your UGAMail address, you are required to enroll a device in ArchPass and begin using it to access your email off-campus. Most incoming students, including all undergraduates, receive their UGAMail address after they pay their commitment deposit. Once you receive your email address, you will be prompted to enroll devices the next time you try to access your UGAMail off-campus.
